Approve or reject a task

How-to6 minFoundation

Before you start

Decide a task when a request is waiting on you: a purchase order to approve, a leave request to turn down. You can decide from Task Space, which is quick, or from the request’s own page, which shows you everything first. Both record your answer the same way.

  1. Click Tasks in the top bar.
  2. Tick the box at the start of each task you want to decide. Tick the box in the header to select the whole page.
  3. A bar shows 2 selected, with Approve and Reject.
  4. Click Approve, or click Reject.
  5. For Reject, type the Reason and click Reject again.

Beezr works through the tasks and shows a note such as 3 approved. The decided tasks leave your Your Open Tasks list and count under Completed Tasks.

The Reject window is titled Reject 1 task or Reject 3 tasks, lists what you chose, and says that the requester sees your reason on the record. It won’t continue without a reason: it shows Add a reason to reject.

Some tasks are approved from the record itself, because they need the record’s details checked first. If the note says a task needs its record page, open it from its row and click Approve there. A task a colleague claimed is theirs to decide. A task that is approve-only is decided with Approve alone.

Click a task row, or its arrow, to open the request. A task banner sits at the top of the record with the task’s title, who asked and when it is due.

A customer record with a task banner under its title. The banner shows the task name, who requested it, a High priority, and three buttons: Approve, Reject and Request Clarification.
The banner names the task and who asked.
    Approve records your decision.
Reject asks for a reason first.
Request Clarification asks someone a question without deciding.

Read the record. Then:

  • Click Approve. If the record is missing information the approval needs, Beezr lists the missing fields and offers Edit record.
  • Click Reject. The window asks Reject this request? Type the Reason and click Reject. Click Cancel to go back.

The banner changes to show the task as done.

How do I ask a question instead of deciding?

Section titled “How do I ask a question instead of deciding?”

Click Request Clarification. In Ask for clarification, fill in Subject, add Details if you like, pick one or more Users, and click Send request. Beezr sends them a clarification task.

The person who receives it opens the record and clicks Mark as answered when they’ve replied.

When your task came from an earlier step, a Send Back button appears. It asks Send back to previous step? and needs a Reason. A task that is approve-only shows only Approve.

Sara selects three tasks in her inbox and clicks Reject. What must she do before Beezr rejects them?
Show the answer

Type a reason, which is required. The Reject window asks for a reason and won't continue without one. The requester sees that reason on the record.

Omar selects five tasks and clicks Approve. Two come back as "needs its record page". What does that mean?
Show the answer

The two need checks on the record, so open each record and approve there. Some tasks require the record itself to pass checks before approval. The inbox skips them, and you approve each one from its record.
