Publish a public form
Before you start
A public form lets people outside your workspace send you a record, for example a vendor registration or a service request, without signing in. You publish the form, share a link or a QR code, and each submission arrives as a new record in the module.
Publish the form
Section titled “Publish the form”- Open the Forms tab of the module and click Save at least once. Publish is switched off until the form has been saved.
- Decide which fields visitors should not see or change. See the next section.
- Click Publish.
The label next to the module name changes from Internal to Public. Internal means “Only signed-in users can use this form”. Public means “Anyone with the link can submit this form”. The toolbar now shows Share, Customize and Unpublish in place of Publish.
Publishing acts at once, whatever else is unsaved.
What should visitors see?
Section titled “What should visitors see?”The public page shows the same blocks and fields as the internal form. For each field you can change that. Click the sliders icon on the field card, and use On the public form:
| Option | Result |
|---|---|
| Same as this form | The field behaves as it does inside |
| Hidden | The field is not on the public page. The card shows Not on public form |
| Read-only | Visitors see the value. The card shows Read-only on public form |
Go through every field before you share the link. Anything left as Same as this form is on the page, and lookup fields show their options to visitors.
Share the link or QR code
Section titled “Share the link or QR code”Click Share. The Share form dialog shows the Shareable link.
The link looks like your-server/published/public-form.xhtml?FORM_KEY=…, with your own server address in front. Add &lang=ar to open the page in Arabic. Without it, or with any other value, the page is in English. See Prefill a form with parameters to fill fields from the link.
Print the QR code on a poster or a delivery note, and the same form opens on a phone.
Customize the page
Section titled “Customize the page”Click Customize. Customize Public Form opens. Click Save in it to save the settings. This saves the whole form too.
These settings show on the public page:
| Setting | What it does |
|---|---|
| Disable header | Hides the header section |
| Form title, Subtext | The heading and the line under it |
| Header size | Small, Standard or Large |
| Text alignment | Left, Center or Right |
| Header text color, Header subtext color | Colours of the two texts |
| Header logo, Header logo alignment | An uploaded logo, placed left, centre or right |
| Enable header media, Header style type, Header background image | A header image, as Hero or Compact |
| Background color | The colour behind the form. Default resets it |
| Enable footer text, Footer text | A line under the form |
What do visitors see after they submit?
Section titled “What do visitors see after they submit?”They see a page that says “Request submitted” and “Thank you for submitting your request.” The record is created in the module, like any other. If a required field is empty, the form asks for it first. The button is labelled Submit, or its Arabic equivalent when the link has lang=ar.
Unpublish the form
Section titled “Unpublish the form”Click Unpublish. Beezr asks “Unpublish this form?” and explains “The public link stops working straight away. You can publish again later.” After you confirm, the label returns to Internal. Anyone who opens the old link sees “Form unavailable”.
What should I know before I start?
Section titled “What should I know before I start?”- Share, Customize and On the public form appear once the form is published.
- Saving the Customize dialog saves the form. Fix any validation errors first.
- Check the form on a phone. Open the link yourself before you send it.
