Switch between table, board, schedule and other views

How-to8 minFoundation

Before you start

The same records can be shown in different ways: a table to compare, a board to see stages, a schedule to see dates. Switching changes only how you look at them. Your search and filters stay on.

Click a tab above the records. The tabs show in this order, and only the views your module offers:

TabBest for
TabularComparing many records side by side
Kanban BoardSeeing records by stage and moving them along
ScheduleSeeing records on a calendar by date
SpreadsheetEditing many records in a grid
CardsBrowsing records as cards
ListScanning records as rows with sorting
Structure TreeSeeing parents and children as a tree

Your administrator chooses the views a module offers, and may rename the tabs.

A Kanban boardKanbanA data view of cards in columns grouped by a lookup field.Open glossary ↗ has one column for each value of a field, such as Status. Each record is a card. The line under the tabs says what it is grouped by, for example “Grouped by Lead Source”.

A Kanban board of deals grouped by Lead Source, with the columns Referral, Cold Call, Web site and LinkedIn, and a card in each.
The Kanban Board tab is on.
The board says which field it is grouped by.
Compact and Detailed change how much each card shows. Hide empty hides columns with no cards.
Each column shows how many cards it holds.
Move moves a card to another column.

On each card:

  • click the name to open the record
  • click the pencil for Quick edit
  • click Move and pick the stage, under Move to a stage
  • click the copy icon to copy the card’s text

You can also drag a card to another column. After a move, a note says “Moved to” and the column, with Undo. A card with an empty grouping value waits in a No stage column.

The Keyboard button lists the shortcuts: the arrow keys to move between cards and columns, M to move a card to a stage, E to quick edit, C to copy the card text, Enter to open and Esc to cancel.

Moving and editing cards need permission to edit records. Without it, the board is read-only.

The schedule puts each record on the day of its date field, for example an invoice date.

A month calendar of May 2023 for Invoices with two records shown on their dates, and the Month, Week and Agenda buttons at the right.
Today jumps to the current day. The arrows move back and forward.
Month, Week and Agenda change the layout.
A record shows on its date. Click it to open it.
  • Month shows the whole month. If a day has too many records, click Show more.
  • Week shows the days in more detail.
  • Agenda lists the records one after another.
  • Click the No date button to see records that have no date yet.
  • On a day with nothing, Beezr says “Nothing on this day.”

The spreadsheet shows records as a grid you edit in place. Click a cell and type. Beezr saves as you go and shows All changes saved.

Use the menu on a column title to Hide column, Filter by this column, Fit width to content or Clear sort. Freeze columns keeps the first columns in view while you scroll. You can copy and paste cells with Ctrl + C and Ctrl + V, and Ctrl + D fills a value down a column. Ctrl + Z undoes.

  • Cards show each record as a card. Choose Small cards, Medium cards or Large cards under Card size, and sort with Sort by.
  • List shows each record as a row. Sort by has Default order, Ascending and Descending. You can Quick edit a row or Open in a new tab.
  • Structure Tree draws records as a tree of parents and children. Click a node to open that record.
