Add notes and attach files
Before you start
Not everything about a record fits in a field. Notes hold the conversation (“Called the vendor, delivery moves to Sunday”). Attachments hold the paperwork: the signed contract, the delivery photo, the quotation. Both live on tabs of the record page.
Add a note
Section titled “Add a note”- Open the record and click the Notes tab.
- Click the box that says Write a comment… and type your note.
- Click Post.
Write a short note. Notes appear under Comments, each with the author’s name and the date.
With no notes yet, the tab says “No comments yet. Start the conversation!”
To delete a note, click Delete on it. You see Delete only on notes you wrote, and it removes the note straight away.
Attach files
Section titled “Attach files”- Open the record and click the Attachments tab.
- Click Upload and choose one or more files. Or drag files anywhere onto the tab. When you drag, the page says Drop to upload.
Uploads start as soon as you choose the files, and you can add several at once. Choose files that fit this:
| What | Choose |
|---|---|
| Types | Images (GIF, JPG, PNG), PDF, Word (DOC, DOCX), Excel (XLS, XLSX), ZIP and RAR |
To share a presentation or a video, put it in a ZIP file first .
Organise files in folders
Section titled “Organise files in folders”- Click New folder.
- Type a Folder name, for example
Signed copies. - Click Create folder.
- Click the folder to open it. Upload files while you are inside, and they go into that folder.
Use the path at the top to go back. Click All files to return to the top level. An empty folder says “This folder is empty”. An empty tab says “No files yet” and “No files at this level. Open a folder, or drag files here to add them.”
Open, download or delete a file
Section titled “Open, download or delete a file”- Preview opens the file in a window.
- Download saves a copy to your computer.
- Delete asks “Delete this file?” and removes it after you confirm.
Deleting a folder asks “Delete this folder and its files?”. Beezr warns that the folder and every file inside are removed for good. Click Delete folder and files only when you mean it.
