Add and open related records

How-to6 minFoundation

Before you start

Records rarely stand alone. A contract has invoices, milestones and purchase orders. A vendor has contracts. Each kind sits on its own tab on the record page, so you can read, add and open them without leaving the parent record.

On the record page, look to the right of Attachments. Each tab is named after a module, for example Purchase Orders, Invoices and Contract Milestone. Click one to see the records linked to this one.

The Invoices tab of contract CONTR-00003, with four invoices listed with their type, amount and match status.
Each related module has its own tab.
The toolbar above the table has search, filter, the upload icon and New.
Each row is one related record. Click it to preview it.

Above the table you have:

  • a search box, a filter button and, when there are saved lists, the list names
  • Table, List and Spreadsheet buttons, when the tab offers more than one
  • an upload icon, Bulk upload
  • New, shown only if you may create records of that kind

A related tab offers these three views, because they follow the link to the parent record.

  1. Open the related tab, for example Invoices on a contract.
  2. Click New. The form opens with the link to this record already filled in.
  3. Fill in the other fields.
  4. Click Save.

You come back to the parent record. The new record is in the tab.

Click a row in a related table. On a screen at least 1,024 pixels wide, the record opens in a panel next to the parent, titled Record preview. On a narrower screen, it opens as a full page.

A related RFx event shown in a side panel next to the bid it belongs to, with the buttons to go to the previous or next record and to open it in full.
The panel shows the related record while the parent stays on the left.
Use Open in full page, Previous record and Next record, or Close.

In the panel you can:

  • click Previous record and Next record to step through the rows of the list. Beezr shows “Row 2 of 4 on this page”
  • click Open in full page to leave the parent and open the record
  • edit the record there and save. If you close with unsaved changes, Beezr asks Discard changes? with Discard or Keep editing
  • click Close, or press Esc

On a window at least 1,280 pixels wide you can also pin the record with Side by side. The record page and the related record then sit next to each other. Unpin puts it back.

  1. Tick 2 rows in the related table. A selection bar appears.
  2. Click Compare.

The comparison lists the columns of the table for each record. Values that differ from the first record are highlighted. Switch on Only differences to hide the rest. Click a record’s name to preview it.

  • Delete. Tick the rows and click Delete. Beezr asks “Delete selected rows?” and says “The selected related records will be deleted.” Confirm with Confirm Delete.
  • Import. Click the upload icon, click Download Template, fill it in, and upload it. A related tab accepts CSV files. See Import records for the full steps.
