Add action buttons to a record page

How-to8 minPractitioner

Before you start

Action buttons are how a record moves forward: Technical Evaluation, Commercial Evaluation, Award Vendor. You add them in the Actions area, and every one stays visible on the record page. This page also covers the other things that sit under the header: notes, tables and reports.

  1. Open Smart views for the module and click the Actions area.
  2. Click Button, or + Add action on the record. The button editor opens straight away.
  3. Choose what the button does, and set any conditions and roles. Click Done.
  4. Back in the panel, type the Button name. Choose a short, clear name.
  5. Click Save.

Under What it does, the panel summarises the action in words: “Runs a workflow”, “Opens a form”, “Opens a page”, “Shows a custom page”, “Gets data from a module”, “Opens a web address”, “Opens data entry” or “Scans a barcode”. Click Edit settings to change it. A button with no action type shows Needs setup, and so does one with no label.

The Bids record with the Actions area selected: four buttons named Technical Evaluation, Commercial Evaluation, Award Vendor and Initiate Contract, and a panel on the right listing one group of 4 buttons.
The tag shows the area and the number of buttons in it.
Each button keeps the same size and shape. Choose its colour.
Add action adds to the end of the bar.
The panel lists the actions in order. A group shows how many buttons it holds.
Button and Button group add to the end of the bar.

Select the button and choose a colour under Colour: Default, Blue, Green, Dark, Amber or Red. Every button has the same size and shape, so a row of actions reads as one set. A button with its own colours in Custom CSS keeps them until you pick one here. Use Custom CSS for colour, background and border colour.

Use one strong colour for the action people most often take, like Blue, and keep the rest Default. Five coloured buttons in a row say nothing.

If the button has a Disabled if rule, it is dimmed when the rule matches. Under When it’s unavailable, type a message, for example Available once the bid is submitted. It shows on hover. Tick Preview as unavailable to see it in the designer.

Click Button group to add a group. A new group starts with two buttons, First action and Second action. Choose how it shows under Show as:

  • Side by side: the buttons sit together in the bar. Set Buttons per row to 1, 2, 3 or 4. From 2 per row, they form a grid with one width per column.
  • One named menu: one button with the group’s Name opens a list of its actions. Choose a short, clear name.

Use a named menu for actions people look for by topic, such as Documents or Payments. When more than 8 buttons are visible, the designer suggests exactly that. A named menu counts as one button.

Click the Text and tables area, then:

AddWhat people see
TextA note for people working the record
TableRecords from a related module. Choose the records and columns in Edit settings
ReportA saved report, shown as a chart

These show full width, below the actions. A group that mixes text and buttons stays together in this area, so a message and its button never split. A table needs its records chosen, a report needs a report and a note needs text. Each shows Needs setup until you add them.

Drag items in the record, or use the arrows in the list. Order matters, because the page shows each area in your order. To remove an item, select it and choose Remove this button, then confirm with Remove.

A bar of buttons that stays where people expect it. Open a record in App space to try them. Check the workflow or form each button points to.
