Set up the spreadsheet view

How-to6 minPractitioner

Before you start

Set up the spreadsheet view for people who work through many records at once, such as a buyer updating prices on 200 line items. Records show as a grid, and an edit in a cell saves that row. It looks like the table, but you can type in it.

  1. Open Dataviews for the module and click the Spreadsheet tab.
  2. Turn on Show the spreadsheet. Its note says “Records in a grid people can edit in place. Each row saves when it changes.”
  3. Under Columns, click Add columns and pick the fields.
  4. Drag the columns into order.
  5. Click Save.

Add at least one column. The tab says Needs setup with “Add at least one column” until you do.

Each column row has a tag. Click Editable to let people change that column’s values in the grid. Click it again to lock the column.

Use Editable on columns of these types: Text, Text area, Integer, Long, Decimal, Currency, Lookup, Relation, Date and Boolean. Columns of the module’s own fields show the Editable tag. Put the key field and fields shown from another module through a relation in the grid for reading.

Click Style on a column to colour its values. The style editor works as it does on the table.

Under Frozen columns, the Freeze first menu keeps that many columns on the left while people scroll across. Choose 0 for none. People can change this for themselves in the app.

Sort records by works as it does on the table: Add a sort, a field and a direction. Without a rule, the newest records come first.

The spreadsheet suits a module’s working set, such as the line items a buyer is updating. For large modules, use the table with saved lists.

Turn on Open this view first on the tab. People then land on the grid. This switches the same setting off on the Kanban, Cards and List tabs.

An editable grid. In App space the tab is called Spreadsheet. Turn it off and Beezr keeps your columns and sorting for later.
