Set up a Kanban board
Before you start
Set up a Kanban board when work moves through stages, such as equipment requests that go from Requested to Approved to Delivered. Each stage is a column, each record is a card, and people change a record’s stage by dragging its card. You need a lookup field to group by.
Turn on the board
Section titled “Turn on the board”- Open Dataviews for the module and click the Kanban tab.
- Turn on Show the Kanban board. Its note says “Records as cards in columns. People drag a card to another column to change its value.”
- Under Group cards by, choose the lookup field, for example Status. Each of its values becomes a column.
- Click Save.
The board needs a lookup field, so add one first on the Fields page. The tab links to it with Add one on Fields.
Choose the columns
Section titled “Choose the columns”Under Columns you see every value of the lookup, with a record count. Click the eye to hide a value from the board, and the eye on a hidden value to show it again. Show all brings every value back. Drag the shown values to change the column order.
Two things to know:
- Records whose value is hidden are shown in the table. Beezr tells you how many.
- To put a value you added to the lookup later on the board, show it in the Columns list. Give each record a value so it shows as a card.
Design the card
Section titled “Design the card”Under Card, choose Fields or Custom HTML.
With Fields, click Add a field and pick fields from the list. The first field is the card’s title. Drag the fields to reorder them. Click a field to change how it shows:
- The value shows what the record holds. A script result shows what a Smart Script returns.
- Look has Weight (Regular, Bold), Size (Normal, Small), Colour and a Pill option.
With Custom HTML, click Design the card. You write the card as an HTML template, with a ${name} variable for each piece of data. Each variable gets its own script, and the template can have its own CSS. Start from your card fields gives you a first draft. Add at least one variable so each card shows data.
Order the cards
Section titled “Order the cards”Under Order cards in each column, click Order by a field. Without a rule, each column shows the newest records first, by date added.
Make it open first
Section titled “Make it open first”Turn on Open this view first on the tab. People then land on the board, not the table. Turning it on turns the same switch off on the Spreadsheet, Cards and List tabs.
Check it in App space
Section titled “Check it in App space”The preview shows the board with your real records. App space shows the cards of each column with paging, plus search and filters. In App space the tab is called Kanban Board.
If the board is on but not ready, the tab says Needs setup and lists what is missing: “Choose what to group cards by”, “Show at least one column”, “Add a field to the card” or “Write the card template”. Fix each item, or turn the board off, then click Save.
What did I get?
Section titled “What did I get?”A board where each stage is a column and a drag moves a record on. After deleting a lookup value or field, use Remove them to update the board.
