Edit or delete a field

How-to5 minFoundation

Before you start

Edit a field to change how it behaves, or delete it when the module has finished using it. Most settings can change at any time. A few are set once, when you create the field, and a delete takes the stored values with it.

You can changeSet when the field is created
The type, with the checks belowThe label
Settings of the type, such as Values come from or Decimal placesThe system name
Show in record details, Show in the record header and PositionThe type of the key field and of Relation fields
Track value changes on a Lookup, and the Default valueThe Encrypt values switch

The editor says: “The label and system name are set when the field is created.” To change the words people read, edit them in Labels.

  1. Open Modules and choose the module. The Fields page opens.
  2. Click the field’s row, or the pencil at the end of the row. The editor opens on the right with the field’s label as its title.
  3. Change what you need. The corner shows Unsaved changes.
  4. Click Save field.

The editor closes and Field saved. appears. If you close the editor with unsaved changes, Beezr asks Discard unsaved changes? with Keep editing and Discard changes.

The field editor open on the Status field of Contracts. The label appears above the settings, and the type, lookup source, record page options and Save field button are visible.
Read the Label above the settings. The system name sits under the title.
Type opens the grid. You can pick another type unless the field is the key or a Relation.
Track value changes appears on Lookup fields only.
Save field saves your changes and closes the editor.
  1. In the editor, open Type and choose the new type.
  2. Fill in any setting the new type asks for.
  3. Click Save field.

If you change to Lookup, Relation, Integer, Long or Decimal, Beezr first checks the values already in the module. When some don’t fit, Beezr tells you how many values to fix. Correct them, then save again.

Other changes of type go ahead without that check.

  1. On the Fields page, click the bin at the end of the field’s row.
  2. Read the list of what the delete removes.
  3. Type the field’s system name in the box, for example needed_by.
  4. Click Delete field.

Field deleted. appears.

The delete service drops the field’s column and every value in it, in every record. It also removes:

  • the field’s place on every form
  • its column in the Table view and the Spreadsheet view
  • for a Relation field, the relation behind it

After a delete, open the workflows, documents, reports and views that used the field and update them.

Check yourself

Sara spelled a field label wrongly. How does she change the words people read?
Show the answer

Change the text in Labels. Choose the label and system name when creating the field. Labels holds the words people see.

Omar deletes a Relation field. What happens to the relation behind it?
Show the answer

Beezr removes it with the field. When the deleted field is a Relation, the delete service also removes the relation whose master field it was.
