Add a record

How-to5 minFoundation

Before you start

Add a record when something new needs to be tracked, like a purchase order or a leave request. You fill in a form and click Save. Which fields the form has depends on how your administrator built it. The steps are the same everywhere.

Use any of these:

  • Click the plus sign on the module’s row in the menu.
  • Open the module’s list and click New.
  • On a record page, open the three-dot menu and click Add Another. This opens a new form for the same module as that record.
  • On a related tab inside a record, click New. See Add and open related records.

You see these only for modules where you may create records.

The form for a new purchase order: PO Details with PO Number, Supplier, Issue Date, Delivery Date and Status, and an Item Details section with an Add Item button.
The title and a link, Return to Purchase Orders, tell you where you are.
A red star marks a required field.
In a lookup field, the magnifier searches the list and the plus adds a new value.
Add Item adds a line to a table of items.
Save keeps the record. Cancel leaves without saving.
  1. Fill in the fields. Fields are grouped in sections, such as PO Details.
  2. In a lookup field, such as Supplier, click the box to search and pick a value. If the value does not exist yet and you may add it, click the plus next to the box.
  3. In a date field, type the date or pick it from the calendar.
  4. For a choice such as Status, open the list and pick one. It reads Select One until you do.
  5. For line items, click Add Item, fill in the row and confirm it. Repeat for each line.
  6. Click Save. The button is at the top right, and again at the bottom of the page.

While Beezr saves, a Saving note with Please wait covers the page. A saved record opens on its own page, so you can check it.

Beezr checks the form before it saves.

  • A required field is empty. You see a message such as “Supplier is mandatory”, and nothing is saved. Fill it in and save again.
  • A rule needs attention. Your administrator can add business rules to a module. If one applies, a Rule Book Check window opens with the heading “The following rules require your attention before saving.”
    • Rules under Blocked stop the save. Click Close, fix the form and save again.
    • Rules under Warning let you continue. Click Proceed Anyway to save, or Close to go back. Proceed Anyway is missing when any rule is blocking.
  • The save failed. You see Operation Failed and a reason. Your form stays as it was.
  • Out of credits. If your plan’s storage is full, a window says so. Ask your administrator.
  • Unable to process your request. Something unexpected went wrong. Click Got it and try again.

Nour clicks Save on a purchase order and Beezr says "Supplier is mandatory". What happens to her other answers?
Show the answer

They stay on the form, so she fills in Supplier and saves again. The check runs before saving and keeps you on the form. Nothing is saved until every required field is filled.

After Sara saves a new record successfully, where does she land?
Show the answer

On the page of the record she created. A successful save opens the new record's page. If she came from a related tab, she returns to the parent record.
