Create a dashboard and choose who sees it

How-to4 minPractitioner

Before you start

Create a dashboard to give an app a home screen, then choose the roles that should see it. It takes a minute. The design comes next.

  1. In the left rail, click Dashboards.
  2. Under Choose an app, click the app, for example Procurement.
  3. Click New dashboard. A drawer opens.
  4. Type the Name, for example Procurement overview.
  5. Under Who sees it, click each role that should see it, for example Buyer and Approver.
  6. Leave Active on, then click Create and design.

The Page builder opens on the new, empty dashboard. Create saves it and stays on the list instead. The drawer says which app the dashboard goes in.

Roles decide who sees a dashboard.

The dashboardWho sees it in App space
Lists rolesPeople who have at least one of those roles
Lists no rolesOnly people who have no role at all

Pick at least one role, so that people who have a role see the dashboard. The list shows No roles picked for a dashboard that still needs its roles.

Use the dots menu on a row, or click the row to open it in the builder.

  • Rename and access opens the same drawer, headed Dashboard details. Change the name and the roles, then click Save.
  • The Active switch hides a dashboard without deleting it. The message that follows offers Undo.
  • Duplicate copies the design and the roles. The copy is called Procurement overview (copy) and starts inactive. The message says “Copy created. It stays inactive until you turn it on.”
  • Delete asks first. It says how many roles lose the dashboard. Deleting is permanent.

A dashboard in the app, with a name, a set of roles and an Active switch. Design it in the Page builder and click Save. Next, add a metric block.

Sara duplicates the dashboard Procurement overview. What happens to the copy?
Show the answer

It is named "Procurement overview (copy)" and starts inactive. The copy gets "(copy)" added to its name and stays inactive until you turn it on.

Layla wants to hide a dashboard for a week without losing it. What should she do?
Show the answer

Turn its Active switch off. Active controls whether the dashboard is shown. Removing the roles would show it to people who have no role.
