Before you start

A lookupLookupA reusable list of choices for Lookup and Multi Select Lookup fields.Open glossary ↗ is a list of choices, such as the statuses a contract can have. Build it once, then pick it on any Lookup field. The Lookups page is where you keep these lists. It says: “Reusable lists of choices for dropdown fields. Records keep each value’s id, so renaming a value updates every record that uses it.”

Open it with Lookups in the left rail. The browser tab is titled Lookup Manager.

The Lookups page with ContractStatuses selected. A list of lookups on the left, and on the right the six values Active, Counter Signed, Draft, Expired, Published and Terminated, each with an id, and a Used by line naming the Contracts Status field.
Export all downloads every lookup in one zip file.
New lookup opens the panel to create one.
Search lookups, with a count and a line for each list showing its values and fields.
Add a value takes one value and Enter, or a pasted list.
The number is the value’s id. Records store it, not the text.
Used by lists the fields that draw from this lookup.

The list holds every lookup, sorted by name, with a search box and a count such as “72 lookups”. Under each name you see how many values it has and how many fields use it, for example “6 values · 1 field”. A lookup no field uses says “not used yet”.

Click a lookup to edit it on the right. Lists that came from A ready-made list carry a Template tag.

  • The title and summary. The name, then “6 values”, “Used by 1 field” and “Forms list values A–Z”. Forms show values in alphabetical order, whatever order you added them.
  • Export CSV (the download icon) and a menu with Export CSV and Delete lookup.
  • Add a value. Type a value and press Enter. Paste several, one per line or separated by commas, and Beezr offers to add them all, skipping duplicates.
  • Values. Each row shows the value and its id, such as #8. A list of more than 12 values also gets a search box. Beezr shows the first 40 values, then Show all for the rest.
  • Used by. Each field that uses the lookup, as Module › Field. Click one to open that module’s Fields page. A Multi select lookup field is tagged Multi-select.
You do thisWhat happens to records
Add a valueNothing. It is now available to pick
Rename a valueEvery record that uses it shows the new text. Beezr says “Renamed. Records using it show…”
Delete a valueRecords that had it show an empty value

To rename, click the value or its pencil icon, edit it and press Enter. Esc cancels.

Deleting a value opens Delete “{value}”? and lists the fields affected: “Records that have {value} in Contracts › Status will show an empty value.” For a Multi-select field it adds “Multi-select fields show the old id number instead.” The dialog offers Rename instead, which is usually what you meant.

Add each value once and give it some text. Capitals and extra spaces do not make a value different.

Open the menu in the editor and click Delete lookup.

  • If a field uses it, Beezr says “{name}” is in use and lists the fields. Point them at another lookup, or delete the fields, then delete this lookup.
  • If no field uses it, Beezr asks Delete “{name}”? and says “The lookup and its 6 values are deleted for good.” Click Delete lookup.

Export CSV on a lookup downloads that one list as a file. Export all at the top downloads a zip with every list. Beezr shows “Preparing the CSV” or “Preparing all-lookups.zip” while it works.

  • Lookup names use English letters, numbers and spaces, and each name is unique. See Create a lookup list.
  • The first time, with no lookups, the page offers New lookup and four ready-made lists.

Karim renames the value Counter Signed to Countersigned in the ContractStatuses lookup. What happens to existing contracts?
Show the answer

They show the new wording, because records store each value's id. Records keep the value's id, not its text. Renaming a value updates every record that uses it.

Sara wants to delete a lookup that shows Used by 2 fields. What does she do first?
Show the answer

Point the two fields at another lookup, or delete the fields. Fields depend on their lookup, so Beezr lists them. Point them at another lookup first, then delete this one.
