Applications and the app menu

Concept6 minFoundation

Before you start

An applicationApplicationA named menu of modules (grouped into sections) that people open in App space.Open glossary ↗ is the menu people see in App space. It lists modulesModuleA table of business data (for example Customers) with fields, forms, views and automation.Open glossary ↗ under group headings, so Contracts sits under Contracting and Purchase Orders under Purchasing. That is all an application is. Everything else lives in the modules.

  1. Application
  2. Groups
  3. Modules
  4. Records

An application holds four things:

  • a name, an optional description and an optional icon
  • a menu: ordered groups, each with ordered modules
  • an Active setting
  • a Default app setting

It does not hold fields, forms, views, workflows or records. Those belong to each module. This is why one module can appear in several applications, and why deleting an application never deletes data.

The App builder for Vendor HUB: a Details panel with name, Active and Default app switches, and a Menu with groups named Vendors Base, Requisition, Contracting and Purchasing, each listing modules.
The Name is what people see in App space.
Default app makes this the application that opens first.
A group is a heading in the side menu.
The modules under a group are the menu items people click.

Default app. The default app opens first when people sign in. You have one default app. When you make another app the default, the previous one stops being it.

Active. An app people can open is active. An inactive app stays in the Designer with its Open button switched off. Activate an app before you make it the default. The default app is always active, so Beezr keeps its Active switch on.

Steps for both are in Set the default app, deactivate or delete an app.

Start with one application per area of work, not per module. A procurement team might have one app, Vendor HUB, with groups such as Vendors Base, Requisition, Contracting and Purchasing. Layla in purchasing and Omar in legal both open it, and what each person sees depends on their role.

Build a second application when a different audience needs a different menu over the same modules. For example, a short app for requesters that lists only Equipment Requests. Both apps use the same module, so a record entered in one shows in the other.

The application menu lists what exists. What each person actually sees comes from their role and its permission profile, which says which applications and modules the role can open. Set that up under Account settings › Users & Security.

Open My applications in the left rail. Each application is a card with its status and a count of groups and modules. You can create one with New application, edit it in the App builder, or open it in App space.

To start a new one, read Create an application.

Check yourself

Layla deletes the Vendor onboarding application. What happens to its Vendors module and the vendor records?
Show the answer

The module and its records stay, and other applications can still use them. An application only holds a menu. Deleting it removes the menu, not the modules or their records.

A colleague signs in to App space. Which application opens first?
Show the answer

The default app. The default app opens first when people sign in. Choose the app that opens first.
